Intent Flow Media Privacy Policy

Effective date: 29 October 2026

This page explains what happens to the details you give us on intentflowmedia.com, and to the business contact details we hold for our campaigns. If something here doesn’t match what you’ve seen us do, write to us and we’ll look into it.

1. Who we are

IntentFlow Media is a B2B demand generation and data company. The company behind this website is IntentFlow Media Private Limited, 66 W Flagler Street, Suite 900, PMB 12287, Miami, FL 33130.

For privacy questions, write to privacy@intentflowmedia.com.

2. What we collect

What you tell us. If you fill in a contact form or enquiry form, we get your first and last name, email address, phone number, the service you’re asking about, your subject line and your message. If you write to us by email or call, we keep what you share in that conversation.

What your browser tells us. When you visit the site, our servers and analytics tools record your IP address, browser and device type, operating system, the pages you open, how long you stay, the page that sent you here, and the date and time. We use your IP address to guess your general location, such as your city or country. We don’t collect GPS location, and we don’t have a mobile app.

Business contact details from other places. Part of our work is building and cleaning B2B contact lists for clients. For that we hold work-related details about professionals: name, job title, company, work email, work phone and LinkedIn profile. These come from public sources such as company websites and professional networks, from data providers we work with, and from our clients. We don’t collect personal details like health, religion, ethnicity or political views, and we don’t go looking for them.

3. Why we use your information

Legitimate interest

Legal obligation

Where we rely on legitimate interest, we’ve weighed it against your rights. You can object at any time (see section 9).

4. Cookies and tracking tools

We use cookies and similar tools to keep the site working and to see how people use it. We use Google Analytics for visit statistics and may use advertising tags from other platforms.

You can accept or refuse non-essential cookies when we ask for your consent. You can also block or delete cookies in your browser settings. If you do, parts of the site may not work properly. To opt out of Google Analytics across all sites, use Google’s browser add-on at tools.google.com/dlpage/gaoptout. To opt out of interest-based ads, visit aboutads.info/choices.

Some browsers send a “Do Not Track” signal. We don’t change how the site behaves when we see one, because there’s no agreed standard for it.

5. Who we share information with

We share information only where there’s a reason to:

  • Service providers that host our website, send email, run analytics, store our CRM data and process payments. They act on our instructions.
  • Advertising and analytics partners, such as Google, through cookies and tags on the site (see section 4).
  • Clients. When we run a campaign for a client, the contacts who respond may be passed to that client, along with what they responded to. The client then handles that data under its own privacy policy.
  • Professional advisers, such as lawyers, accountants and insurers.
  • Authorities, when the law requires it or when we need to protect our rights, our users or the public.
  • A buyer, if we merge with or sell part of the business. We’d tell you if your information became subject to a different privacy policy.

We don’t sell contact details to anyone for money. Under California law, some ad cookies can count as “sharing” or “selling” personal information. Section 10 explains how to opt out.

6. Moving data between countries

Our team and service providers are in the United States and India, so your information may be processed outside the country where you live. If you’re in the EU, UK or Switzerland, we protect transfers with the European Commission’s Standard Contractual Clauses (and the UK addendum) or another safeguard the law accepts. You can ask us for a copy of the safeguards at privacy@intentflowmedia.com.

7. How long we keep it
  • Enquiries and correspondence: up to 24 months after our last contact with you.
  • Marketing and campaign contact records: until you opt out, or until the record has been inactive for 24 months, whichever comes first.
  • Website analytics: 14 months, following our Google Analytics setting.
  • Accounting and tax records: as long as the law requires, usually between six and seven years.

When the time is up, we delete the data or strip out anything that identifies you. We may keep a short opt-out note, with just your email address, so we don’t contact you again.

8. How we protect it

Only staff who need the data for their work can open it. Accounts need individual logins. Data moves over encrypted connections, and we keep backups. No system is completely safe, and we can’t promise that nothing will ever go wrong. If a breach puts your rights at risk, we’ll tell you and the relevant authority as the law requires.

9. Your rights

Depending on where you live, you can ask us to:

  • tell you what we hold about you and give you a copy;
  • fix anything that’s wrong or incomplete;
  • delete your information;
  • pause the way we use it;
  • stop using it for direct marketing, or for anything we do on the basis of legitimate interest;
  • send it to you, or to another company, in a common file format;
  • take back a consent you gave earlier. This doesn’t affect what we did before you withdrew it.

To use any of these, email privacy@intentflowmedia.com or use our preferences form at intentflowmedia.com/preferences/. We may ask you to confirm who you are first. We’ll answer within one month. If your request is complicated, we may need up to two more months, and we’ll tell you why.

To stop marketing emails, click “unsubscribe” in any email. That works straight away.

If you’re unhappy with how we handled your request, you can complain to your local data protection authority. In the UK that’s the Information Commissioner’s Office (ico.org.uk). In the EU, you can find yours on the European Data Protection Board website. We’d like the chance to fix the problem first, so please write to us.

10. California residents

If you live in California, the CCPA/CPRA gives you these rights: to know what personal information we collect and why, to get a copy, to delete it, to correct it, to opt out of the sale or sharing of your information, and to be treated the same whether or not you use these rights.

In the last 12 months we collected these categories: identifiers (name, email, phone, IP address), business contact details, internet activity (pages visited, device and browser data) and approximate location. We didn’t collect sensitive personal information on purpose.

We don’t sell personal information for money. Advertising cookies on our site may count as “sharing” under California law. To opt out, change your cookie settings, or email privacy@intentflowmedia.com with “Do Not Sell or Share” in the subject line.

You can also send a request through an authorized agent. We’ll ask for written proof that they act for you, and we may still need to confirm your identity. We’ll reply within 45 days. If we need more time, we may extend this once by another 45 days and will tell you.

11. Canada

We follow Canada’s Anti-Spam Legislation when we email people in Canada. Every marketing email tells you who sent it and includes an unsubscribe link.

12. Children

Our services are for businesses and the people who work in them. We don’t aim our site at anyone under 16 and we don’t knowingly collect their information. If you think a child has sent us details, write to privacy@intentflowmedia.com and we’ll delete them.

Our pages sometimes link to other websites. We don’t control them and aren’t responsible for what they do with your data. Check their privacy policies before you share anything.

14. Changes to this policy

When we change this policy, we’ll update the effective date at the top. If the change is big, such as a new way of using your data, we’ll put a notice on the site or email you if we have your address.
